(Status: October 2025)

Important note:

This English version of the privacy policy is provided for information purposes only.

The legally binding version is the German privacy policy.

Dear Patient,

The protection of your personal data is very important to us.

In accordance with the EU General Data Protection Regulation (GDPR), we are required to inform you about the purposes for which our medical practice collects, stores, and processes personal data. This privacy policy also explains your rights regarding data protection.

2. Purpose and Legal Basis of Data Processing

Your personal data is processed in accordance with the EU General Data Protection Regulation (GDPR), the German Bundesdatenschutzgesetz (BDSG, Federal Data Protection Act), and other applicable statutory provisions.

The processing of your data is necessary for the performance of the treatment contract between you and our medical practice and to comply with our legal obligations.

In particular, we process health data pursuant to Article 9(2)(h) GDPR in conjunction with Section 22(1) no. 1(b) BDSG.

Health data includes all information relating to your physical or mental health, such as medical histories, diagnoses, findings, treatment recommendations, and medical documentation.

We generally collect this data directly from you or receive it from other treating physicians or psychotherapists (e.g. in medical reports).

Without the provision of this information, careful and appropriate medical treatment would not be possible.

3. Recipients of Your Data

We only disclose your personal data if this is permitted by law or if you have given your explicit consent.

Possible recipients of your personal data include, in particular:

•    other physicians, psychotherapists, or medical institutions (e.g. hospitals, laboratories)

•    Kassenärztliche Vereinigungen (Associations of Statutory Health Insurance Physicians)

•    statutory or private health insurance providers

•    the Medizinischer Dienst der Krankenversicherung (Medical Review Board of the Statutory Health Insurance)

•    medical chambers

•    private medical billing service providers

Data is transferred primarily for billing purposes, medical coordination, and compliance with statutory obligations.

4. Storage of Your Data

We store your personal data only for as long as necessary for treatment and medical documentation.

Statutory retention periods generally amount to 10 years after completion of treatment (Section 630f(3) Bürgerliches Gesetzbuch (BGB, German Civil Code)).

Certain records (e.g. radiological images) are subject to longer retention periods of up to 30 years pursuant to Section 28(3) of the German Röntgenverordnung (Radiation Protection Regulations).

5. Elektronische Patientenakte (ePA, electronic patient record)

Since October 2025, the introduction of the Elektronische Patientenakte (ePA, electronic patient record) has been mandatory for persons insured under statutory health insurance in Germany.

The ePA serves the secure digital storage and transmission of medical information (e.g. medical reports, findings, medication plans) and is provided by statutory health insurance providers.

Your rights and choices regarding the ePA

•    The filling and use of your electronic patient record takes place only with your explicit consent.

•    You may decide at any time whether and which data is stored in your ePA.

•    You determine which physicians, psychotherapists, or medical institutions may access your ePA.

•    You may modify or revoke access permissions at any time.

•    You have the right to decline the use of the ePA entirely. In this case, no electronic documentation or transmission of data to the ePA will take place.

The legal basis for data processing within the framework of the ePA is Article 6(1)(a) and Article 9(2)(a) GDPR in conjunction with Sections 341 et seq. of the Sozialgesetzbuch V (SBG V; German Social Code, Book V).

Our medical practice accesses your ePA only if you explicitly authorize us to do so. Without your consent, no access or upload of medical information will occur.

6. Your Rights as a Data Subject

You have the following rights with regard to your personal data:

•    Right of access (Article 15 GDPR)

•    Right to rectification (Article 16 GDPR)

•    Right to erasure (Article 17 GDPR), subject to statutory conditions

•    Right to restriction of processing (Article 18 GDPR)

•    Right to data portability (Article 20 GDPR)

•    Right to object (Article 21 GDPR), in specific situations

If you have given your consent to the processing of personal data, you may withdraw this consent at any time with effect for the future.
